Why Plain Text Emails Are Dangerous

Method 1: Gmail Confidential Mode 🕵️‍♂️

The easiest built-in way to send an email that cannot be forwarded, copied, or printed.

1. Compose a New Email 📝
Open Gmail on your PC or phone and start composing your email normally. Attach your documents or type the sensitive information.
2. Click the "Lock & Clock" Icon ⏱️
At the bottom of the compose window (next to the Send button), click the icon that looks like a padlock with a clock on it to open Confidential Mode.
3. Set an Expiry & Passcode 📵
Set the email to expire in 1 day or 1 week. Select "SMS passcode". When you hit send, Google will ask for the recipient's phone number. They cannot open the email without the OTP!

Method 2: The "Pro" Techniques 💼

Encrypt the PDF Itself 📄🔒
Before emailing a client's tax return or invoice, use a PDF utility to lock the file with a strong password. Even if the email is intercepted, the file is completely unreadable without the password.
Use a Self-Destructing Link 💣

🚨 The Golden Rule: Split Your Channels

  • If you send a password-protected ZIP file or PDF, NEVER send the password in the same email!
  • Always send the encrypted document via Email, and immediately send the password via a completely different channel, like a WhatsApp message or SMS.
  • This ensures that if a hacker breaches their email account, they still don't have the password!
